Split travel expenses with friends, without the spreadsheet

Group trips are great until someone has to work out who owes what. With MySharedXP everyone adds what they paid as it happens, in the currency they paid in, and at the end one settlement plan shows the fewest payments to square up.

The short answer

To split travel expenses fairly, record every shared cost with who paid and who took part, split each cost only between the people who used it, and settle once at the end. Settling once, with a plan that matches the people who are owed money with the people who owe it, takes far fewer transfers than paying each other back after every meal.

How it works on a trip

Create a group for the trip and add your travel buddies. Log the flights, the apartment, groceries and dinners as you go; each expense can be split equally, by exact amounts, by percentages or by shares, so the friend who skipped the boat tour does not pay for it.

When the trip ends, the settlement plan lists who pays whom. Record the payments one by one or settle everyone at once. With Pro you can also keep the plan as a PDF.

Example: four friends, one long weekend

Anna, Ben, Chloe and Dev spend a long weekend away. Three of them pay for something; Dev skips the boat tour, so it is split between the other three.

What was paid, and each person’s share
ExpensePaid byAmountSplit
ApartmentAnna€600All four, €150 each
Car rentalBen€240All four, €60 each
GroceriesChloe€160All four, €40 each
Boat tourBen€90Anna, Ben and Chloe, €30 each

Who pays whom at the end

The trip cost €1,090. Anna’s share is €280 but she paid €600, so she is owed €320. Ben is owed €50, Chloe owes €120 and Dev owes €250. Instead of everyone paying everyone back, three payments settle it all:

Balances and the settlement plan
PersonPaidShareBalanceSettles by
Anna€600€280+€320Receives €250 from Dev and €70 from Chloe
Ben€330€280+€50Receives €50 from Chloe
Chloe€160€280−€120Pays €70 to Anna and €50 to Ben
Dev€0€250−€250Pays €250 to Anna

Agree on a few things before you go

Most arguments about trip money come from rules nobody said out loud. Five minutes in the group chat before you leave saves a lot of awkwardness later:

  • What counts as shared: accommodation and car, surely; drinks and souvenirs, maybe not
  • How to split activities not everyone joins: only between the people who go
  • Which currency the group keeps its balances in
  • When you settle: at the end of the trip, or every few days on a long one
  • Who adds the expenses: everyone their own, as soon as they pay

Paying in other currencies

Each group keeps its balances in one currency, and every expense can be entered in the currency you actually paid in, from 30 currencies. MySharedXP converts it at the European Central Bank reference rate of the expense’s day, or at the rate you type in from your bank statement, and shows both the original and the converted amount.

Card payments abroad are often charged at a slightly different rate than the reference rate. For a big expense such as the apartment, entering the rate from your statement keeps the numbers exact.

Common trip-money mistakes

A few habits make settling up much harder than it needs to be:

  • Paying each other back after every meal: dozens of small transfers instead of a few at the end
  • Adding expenses days later from memory: add each one when you pay
  • Splitting everything equally, including the activities only half the group joined
  • Forgetting bookings made months before the trip, such as flights or the deposit on the apartment
  • Leaving cash out: a cash payment is an expense like any other

Made for travel

The details that matter away from home:

  • Expenses in 30 currencies, converted to the group’s at the ECB rate of the day
  • Receipt scanning that reads merchant, total and date (Pro, or with a scan pack or a short ad)
  • 11 categories such as travel, accommodation and food
  • Works from the home screen of every phone in the group
  • Late joiners can share existing expenses or only new ones

Questions and answers

How do you split travel expenses fairly?
Record every shared cost with who paid and who took part, then settle once at the end. Splitting per expense by shares or exact amounts keeps it fair when not everyone joins every activity.
Can we pay in different currencies?
Yes. Each group has its own currency, and an expense can be added in any of 30 currencies: it is converted at the European Central Bank rate of its day, or at the rate you enter from your bank statement.
Should we use a shared kitty or pay as we go?
Both work. A kitty is simple for small daily costs; paying as you go and recording each expense is easier for big bookings and when people join different activities. Many groups do both: one person pays from the kitty and records it as their expense.
What if someone joins the trip late or leaves early?
Split each expense only between the people who were there. When someone joins an existing group, they can share the expenses already in it or only new ones.
How many payments does it take to settle up?
Usually far fewer than the number of expenses. The settlement plan matches the people who are owed money with the people who owe it, so a group of four never needs more than three payments.
How do we handle costs paid months before the trip?
Add them to the trip group with the date they were paid, as soon as the group exists. Flights, deposits and tickets bought in advance are part of the trip, and they are often the biggest amounts.
What is the best app to split travel expenses with friends?
One that everyone in the group can use, that splits per expense and that settles with few payments. MySharedXP does all three for free, works on every phone from the browser and handles expenses in other currencies.
Does everyone need the app?
Everyone who adds expenses needs a free account. They can use it from the browser or install it to their home screen on iPhone or Android in under a minute.
